We are seeking a Personal Assistant to join our M&IS Energy Business Unit supporting the General Manager. This integral position will entail joining a cohesive team who are directly impacting the success of the business every day. In this role, you will gain exposure to a range of diverse and interesting tasks within the business unit whilst working with a supportive team who are passionate about delivering to our business.

Key Responsibilities:

Provide effective administrative and secretarial services directly to the General Manager including diary/email management and travel coordination
Arranging meetings (collecting visitors, setting up supplies, presentations etc. in meeting rooms)
Prepare and distribute reports, presentations, organisational charts and various document formatting
Order, assign and registering of stock for the business unit
Prepare information for dissemination to others; maintain and update records
Provide a timely response to information requests from clients, suppliers, divisional services and the project teams
Create, update and maintain SharePoint pages and online databases
Workshop and meeting room management
Creating Power Point presentations
Maintain time sheets, expense claims and business cards for assigned Managers and direct reports
Receive, screen and monitor assigned Managers incoming telephone calls
Greet and welcome clients and external visitors
Expenditure management and reconciliation
General administration tasks including amenity procurement and IT management

What you’ll bring:

A minimum of 3 years demonstrated experience in a PA/EA capacity ideally whilst working for similar resources companies
Professionalism and confidence dealing with Executive Level Management
Advanced Microsoft and IT skills (Excel, Word, Visio, Powerpoint, SharePoint, MS Teams)
Ability to cooperate with others to move the team toward the completion of goals
Capability to adapt to change, can work well under pressure and persist toward goals despite obstacles
Initiative to set and achieve work goals for yourself
Flexibility to adapt to changing priorities
Strong attention to detail, analytical and problem-solving skills
High level of time management and the ability to handle a fluctuating workload
Self-motivated, career driven and have a passion for providing excellent customer service
